Custom Medical Equipment Design and Fabrication: What Information Should Customers Prepare?

A fabrication request can only be fully considered when the intended use, dimensions, materials, configuration and operating conditions are sufficiently well described. The checklist below is for a specific product or group of products, helping customers prepare input before talking to SAPAMEFA without turning the receiving step into a complicated set of documents from the beginning.

Fabrication is effective only when technical inputs and the production scope are agreed.

Input information determines the quality of the technical review step

SAPAMEFA's Manufacturing Capabilities page shows that each request is considered based on intended use, space, function, size, materials and operating conditions before moving on to design and production. If one of these factors is unclear, the technical team may have to come back to confirm multiple times or not be able to conclude the feasibility of implementation.

Preparing information does not mean that customers have to complete all manufacturing drawings themselves. The goal is to provide enough basis for both sides to identify the scope, unclear points and additional data. Requirements affecting structure, operations or acceptance should be documented as appropriate.

Checklist of information to prepare for a specific request

Intended use and operating context

Describe where the product will be used, what operations it will serve and whether it requires coordination with existing equipment or furniture. There is no need to include medical professional recommendations; simply state the operational context relevant to the configuration.

Information about space, frequency of movement, parking location, cleaning methods or exposure conditions can influence the choice of structure and materials.

Quantity and scope of supply

Quantity helps evaluate how production is organized, but should not be considered a separate basis for committing to progress. It is necessary to indicate whether this is a testing need, a single item, or part of a project package.

If there are multiple variants, the quantities should be separated by configuration rather than combined. This helps avoid confusion when creating drawings and lists.

Dimensions and contact points

Provide desired overall dimensions, space limitations, and compatibility with other equipment. With mobile products, consideration should be given to aisles, doors, elevators or storage locations.

If dimensions are measured from existing product, the measurement method and acceptable tolerances should be clearly stated. Do not extrapolate from photos without measurements or drawings.

Materials and finishing requirements

State the expected materials, usage environment and surface requirements if the project has specified. When unclear, you can describe the conditions of use so that the technical team can consider the option.

Do not just write a general material name but ignore thickness, surface, connection or material profile if these factors fall under the acceptance criteria.

Configuration, accessories and scope of supply

List the functional parts, trays, shelves, compartments, wheels, handles, racks or accessories that need to be considered. Clearly distinguish standard parts, optional parts and parts provided by other parties.

Do not assume that the accessories appearing in the illustration are included accessories. Each configuration needs to be confirmed by catalog or drawing.

Operating and maintenance conditions

Indicate requirements for movement, power source, cable, water supply and drainage, installation location or disassembly capability, if any. Only include conditions that are actually related to the product.

If the project requires maintenance or replacement of parts, the desired scope should be clearly stated for assessment from the design stage.

Drawings, photos and reference samples

Dimensioned drawings are a useful source of input. Photos or reference samples can help clarify ideas, but should not be used to infer specifications that are not shown.

It is necessary to clearly state which content of the reference sample must be retained and which content is only used for illustration. Copying another product as-is may not comply with the new requirements.

Documentation and acceptance criteria

If the project already has acceptance criteria, provide from the beginning: approved drawings, material records, appearance criteria, functions or handover documents. Do not apply the same set of records to every product.

Unagreeable criteria should be flagged for both parties to handle before production, instead of leaving it until the handover step to add it.

When information is incomplete, how is the request handled?

The initial request may not include all the data. In that case, the appropriate step is to create a list of open questions, determine what information directly affects the ability to perform, and agree on the order of addition. Customers should prioritize data that has the potential to change the structure or scope: dimensions, materials, impact loads, attachments, power sources, installation conditions and accessories. Additional presentation elements or documentation may be completed after the basic configuration is finalized, depending on the project.

A good checklist does not add to the paperwork but rather helps the conversation start with verifiable data. Once the purpose, dimensions, materials, configuration, operating conditions and acceptance criteria are clarified, SAPAMEFA has the basis to review the feasibility and determine the next technical steps for each product or processing group.
